Privacy Policy

This policy explains what Cloud Forest Martial Arts Institute (“Cloud Forest,” “we,” “us”), operated by Greensboro Martial Arts Academy LLC, collects when you use our app and website, how we use it, and the choices you have. By using the Cloud Forest app you agree to this policy.

Information we collect

Account and profile: name, email, phone, date of birth, and the program you train in.
For minors: a parent or guardian’s name and contact details, provided by that adult during enrollment.
Emergency and safety: emergency contact details and any health notes you choose to share so we can keep you safe on the mat.
Payment: membership and tuition payments are processed by Stripe. We receive a record of your subscription and status, but we do not store full card numbers on our servers.
Activity: class check-ins, reservations, attendance, ranks, and trial-pass activity.
Content you create: training-journal notes, community posts, messages to the school, and course progress.
Technical: basic device and log information needed to operate the app securely.

How we use your information

To run your membership: check-ins, bookings, billing, ranks, and course access.
To communicate with you about classes, schedules, and your account.
To keep you safe during training and respond in an emergency.
To operate, secure, and improve the app.

We do not sell your personal information, and we do not use it for third-party advertising.

Children’s privacy

Some of our programs serve children. Accounts for students under 13 are created and managed by a parent or guardian, who provides the child’s information and consents to this policy on the child’s behalf. We collect only what we need to run the program and keep the child safe. A parent or guardian may review, correct, or request deletion of their child’s information at any time by contacting us at the email below.

How we share information

Service providers who help us run the app: Stripe (payments), Supabase (secure data hosting), EmailIt (email), and Twilio (text messaging). They may only use your data to provide their service to us.
Your instructors and school staff, who need it to teach, track progress, and manage your membership. Independent program instructors see information for students in their own programs.
When required by law, or to protect the safety of our students and staff.

Text messaging (SMS)

If you give us your mobile number and opt in, we may send you text messages about your classes, schedule changes, account, and billing. Message frequency varies. Message and data rates may apply. Reply STOP at any time to opt out, or HELP for help. Opting out of texts does not affect your membership; we may still reach you about your account by email or phone.

We do not share your mobile opt-in information or phone number with third parties or affiliates for their marketing or promotional purposes. We share it only with the service provider that helps us deliver these messages on our behalf, and only so it can send our messages to you.

Data retention

We keep your information for as long as you have an account and as needed to run the school and meet legal and accounting obligations. You may ask us to delete your account, and we will do so except where we are required to keep certain records.

Security

Access to member data is restricted to your own account and authorized staff, payments run through Stripe, and data is hosted on secured infrastructure. No system is perfectly secure, so please use a strong, unique password and keep it private.

Your choices

Access or correct your information in the app, or by contacting us.
Request a copy of your data or deletion of your account.
Opt out of non-essential emails using the link in those emails or by replying to us. We may still send important account and billing notices.

Changes to this policy

We may update this policy from time to time. When we do, we will change the date above and, for significant changes, let you know in the app or by email.
